IMS Hybrid Mail is a virtual mail box, whereby you post your letters by way of an additional print driver. Your mail is then printed off site, inserted into an envelope and delivered to the Royal Mail. You can print, proof and then post your items, whether a single or multiple document. What is Hybrid Mail?
How it Works  A Practical Example If you are sat in Edinburgh today and want to send a letter or invoice to a customer in London, you create your letter as normal, perhaps in Microsoft Word, then press print as you normally would. Instead of selecting your local printer, you select IMS from your printer options to launch the IMS Printer Driver. Select your print options (colour or mono, simplex or duplex print) then leave the rest to us. IMS Hybrid Mail will check that the address in your letter is valid, then sort and batch your letter ready for printing via our secure system. Your letter will be printed on high end digital printers near to the destination (near London for this example) and passed over to Royal Mail for delivery within 48 hours. And the cost...as little as the price of a stamp (including print, stationery and postage) at the touch of a button. You letter is archived as a time-stamped PDF and we have full tracking and traceability of your item from the moment you press print until it is handed over to Royal Mail in the depot next to the delivery location for the Postman to deliver the next morning. There are several ways to integrate with the IMS Hybrid Mail service, depending on volume of letters and current IT infrastructure. In simple terms, we are connecting to a print stream that would normally be sent to a printer, so just about anything will work with IMS Hybrid Mail. You can access the IMS Hybrid Mail service in any of three ways Print driver:  the simplest way for individual users to access IMS Hybrid Mail. With the driver installed on their workstation, the user can print a document, or batch of documents, selecting IMS from the printer list. The documents are then routed into the IMS system. Web portal:  manually allows users to upload a PDF to our website, together with a mailing list, to send a bulk mailing quickly. API:  allows your enterprise software, such as SAP, to talk directly to our servers to manage large volumes of mail with minimal user intervention. Traditional Method versus IMS Hybrid Mail way.... Encryption:  Documents are 128-bit encrypted while transmitted between your computer and our servers; and between our servers and the print facility Print security:   Our print facilities operate largely to APACS standards, with controls such as biometric access control, CCTV monitoring, ban on mobile phone cameras, etc. Server security:   Our servers are located at Rackspace, behind hardware firewalls and with Intrusion Detection Systems. Envelope security:   We enclose your letters in 100% opaque 100gsm envelopes. Security
IMS Hybrid Mail prints your letters at a location near their final destination, so we reduce the need for physical trucking and mechanical sorting of your post.  Carbon Planet have carried out a Carbon Audit of the end-to-end journey of a letter sent using hybrid technologies.  They found that carbon emissions are reduced by around 80%  in comparison to traditional methods of sending post.  Royal Mail use approximately 150m litres of diesel each year in their delivery of 80 million items of mail every day and IMS Hybrid Mail provides an easy to use and cost effective solution that can reduce this pollution significantly.  At IMS Hybrid Mail we are currently looking into further reducing our carbon footprint by offering the option of recycled paper and regionally printed envelopes.  We take our environmental responsibilities very seriously and we believe that we are in a unique position to make a genuine and significant reduction in the carbon footprint of British businesses, while at the same time saving money. IMS Hybrid Mail uses state-of-the-art commercial digital printing presses.  The professional standard printers are capable of reproducing extraordinarily high quality graphics, colours and text giving your letter the clarity and impact you need. For the best possible results we combine Xerox printing equipment with 100gsm Xerox paper. Our expert print managers constantly monitor & calibrate all printing equipment to maintain consistently high results.  The cost of printing on these machines would normally be prohibitively high for the average user as they are state of the art industrial machines, however since IMS Hybrid Mail has many users, the cost for each individual is greatly reduced.  All fonts included in documents are embedded by the ViaPost driver when you click 'send it ViaPost' so your text will appear exactly as it does on screen.  The envelopes we use are fully secure, opaque envelopes as used by the financial services.  The IMS Hybrid Mail printers will reproduce any images and digital signatures that you include in your letter. We recommend that the image files used in your document are correctly sized and saved at a resolution of 300 dots per inch. It is best to ensure that images are saved at the correct dimensions and resolution before inserting them in to your main document as resizing later may cause a loss of quality or unnecessarily large file sizes. As a general rule, a one page document should be no larger than 500kb. Print quality
